Cars module
Car hire software for travel agencies and rental companies: airport and city pick-up points, car classes from your fleet and suppliers, extras and cover at checkout, private and shared transfers with flight tracking, and a voucher the counter accepts.
How it works
At a rental desk the agent asks where and when you collect the car, shows the classes that fit, offers extras and cover, then hands over an agreement. PHPTRAVELS puts that same conversation online, for your own fleet and for car and transfer suppliers, so customers and travel agents book a car in minutes and arrive at the counter with a voucher.
Cars sit in the same checkout as flight booking and hotel booking, so a traveller who books a flight adds the car or the airport transfer on the next screen. Rental companies that only run their own branches can start from the car rental system for fleets page.
Every stop below is part of the cars module in every plan: compare the plans and pricing, or open the live demo and book a car yourself.
Airport desks, city branches, opening hours, rental days and one-way fees.
Economy to luxury, compared like for like across fleets and suppliers.
GPS, child seats, additional drivers and full cover with real prices.
Private and shared transfers, meet and greet and flight tracking.
Confirmation numbers, desk address, deposit and what to bring.
Your fleet, partner fleets and API suppliers in one search.
Pick-up and drop-off
Every branch is a location with its own type and opening hours, so the search knows whether the car waits at an in-terminal desk, a shuttle lot or a city office, and prices the trip to match.
Mark each location as in-terminal, shuttle, city office or hotel delivery, with its address, hours and pick-up instructions printed on the voucher.
Days are counted in 24-hour blocks with a grace period you set, so a 10:00 pick-up and a 10:30 return is still one day, not two.
Returning to another branch adds the one-way fee for that pair of locations, and collecting outside opening hours adds your after-hours charge.
Young-driver and senior surcharges, minimum licence years and residence rules apply as soon as the driver's age is entered.
Car classes
Every vehicle from your fleet or a supplier is mapped to its four-letter ACRISS (SIPP) code, so an economy car from one company sits beside an economy car from another, with the same facts on each card.

The code CDAR on the compact card reads, letter by letter:
Search filters, markups and supplier mapping all use the code, so a new supplier's cars land in the same classes as yours.

Paid online now. At the desk the supplier places a refundable deposit hold on a credit card in the driver's name.
Extras and cover
Child seats, GPS, additional drivers and cover are added online at their real price, so the customer knows the total before arrival and the margin is yours, not the counter's.
Charge an extra per day, per rental, or per day up to a maximum, the way rental desks price them.
Child seats and GPS units are counted per branch, so an extra is offered only while one is free on those dates.
Show the standard excess, then what full cover reduces it to, so the upgrade explains itself.
Your markups and agent commissions can apply to extras and cover as well as to the car.
Airport transfers
Sell private and shared transfers from the same search as rentals. The flight number is part of the booking, so the pick-up follows the real landing time and the driver waits at arrivals with the traveller's name.
Transfers sell best next to flight bookings: the flight is already known, so the transfer form is half filled. Operators who run their own vehicles can read more on airport transfer technology.
Price private transfers per vehicle and route, and shared shuttles per seat, from your own operators or from transfer APIs.
The arrival time from the flight number sets the pick-up, so a delay does not mean a missed driver or a waiting charge.
Name board, free waiting time and the driver's phone number go on the voucher and on the driver's job sheet.
Price by fixed airport-to-zone fares or by distance, or take the supplier's live price, then add your markup.
Agreement and voucher
Each confirmed rental or transfer produces a voucher and an invoice by email, with the supplier's confirmation number, the desk address and everything the driver must bring.
Bring to the counter
The terms come from the vehicle's rate plan or from the supplier's response, so what the customer accepted online is exactly what the desk sees. Amendments, cancellations and refunds are handled from the admin and send an updated voucher.
Travel agents who book through the B2B travel portal receive the same voucher and invoice, with their own rates and commission applied.
Supplier coverage
Combine three sources of cars and transfers in one search. Each keeps its own rules and markups, and every car is mapped to the same classes.
Load the vehicles you own or lease, with your own branches, rates and rules.
Local rental companies and transfer operators log in to manage their cars, rates and bookings.
Add live cars and transfers from the suppliers listed here, with your own credentials and contracts.
Car and transfer suppliers you can connect
This list is read from the PHPTRAVELS integrations directory, so a supplier added there appears here too.
