What Travel Booking Software Actually Costs

The real cost lines in travel booking software: licence or subscription, hosting, supplier APIs, payment gateways, customisation and support. What changes between a one-time licence and a monthly platform.

Short answer

There is no list price, and any vendor quoting one before hearing your requirements is guessing. Cost depends on which modules you run, how many supplier APIs and payment gateways you connect, and whether you sell B2C, B2B or both. What you can compare is the shape of the bill — and that differs sharply between a one-time licence and a monthly platform.

Every line you will actually be billed for

Most quotes go wrong because a line is missing, not because a number is wrong. Price all of these on every vendor you shortlist, then compare totals rather than headlines.

Cost lines in travel booking software, one-time licence compared with monthly platform
Cost line One-time licence (PHPTRAVELS) Monthly platform
The software itself Licensed once, quoted per project Subscription for as long as you sell
Growth Flat — more bookings do not raise the licence Often tiered by bookings, users or volume
Hosting Yours to buy and size, or our managed hosting Included in the subscription
Server operations Yours, or a managed host you pay for Included
Supplier APIs Per integration, then yours to keep Often per integration and per month
Payment gateways Per gateway, then yours to keep Often per gateway and per month
Customisation Your developer time — the source is included Vendor quote, if they take the work
Upgrades Per your licence terms Included, on the vendor’s schedule
Leaving Nothing — code and data are already yours An export, if the contract grants one

The pattern most travel businesses land on: a subscription is cheaper in year one, roughly level somewhere in year two, and more expensive from year three — because it never stops while a licence does. Against that, self-hosting adds a real operations line. Price it honestly; if you would be paying a managed host anyway, it is smaller than it looks.

What the market publishes

Almost nobody in this category lists prices, which is worth knowing before you spend a week hunting for them. Of the vendors on our comparison hub, exactly one publishes numbers.

Published

Travilo lists $5,000 setup plus $1,000 a month, with supplier APIs at $1,200 each and payment gateways at $800 each. Those are their figures, read off their own site on 2026-09-09 — check them before you rely on them.

Quoted per project

Everyone else, ourselves included. That is not evasion: a platform running two supplier APIs for one B2C brand is a different build from one running twelve across a B2B agent network, and a single list price would be wrong for both.

How to compare quotes like for like

1

Price the same three years

Not year one. Include licence or subscription, hosting, every supplier API, every gateway, support and the customisations you already know you need.

2

Count the integrations you will really run

Quotes are usually per supplier API and per gateway. Decide the list first, or you are comparing different builds. We connect 30+ suppliers and gateways today.

3

Ask what a change costs

On a self-hosted licence it is your developer's time. On a managed platform it is a vendor quote, if they take the work at all. Get that answer in writing.

4

Ask what leaving costs

What you can export, in what format, and who owns the customisations. The answer is cheap to get now and expensive to discover later.

Frequently asked questions

How much does travel booking software cost?

There is no single figure. Cost depends on the modules you enable, how many supplier APIs and payment gateways you connect, and whether you sell B2C, B2B or both. PHPTRAVELS is quoted per project as a one-time commercial licence with the source code included, rather than a monthly subscription. Use the configurator on our pricing page for a number scoped to your requirements.

Does PHPTRAVELS have a published price list?

No. Every quote is scoped to the modules, suppliers and business model you actually need, so a list price would be wrong for most buyers in one direction or the other. The pricing page walks through those choices and returns a quote.

Is a one-time licence cheaper than a monthly platform?

Over a long enough period, usually, because the licence stops and a subscription does not. In year one a subscription is often cheaper. The crossover depends on your volume and how much you spend on hosting and operations, which is why the three-year comparison matters more than the headline.

What extra costs should I budget for beyond the software?

Hosting and server operations, one charge per supplier API and per payment gateway, any customisation beyond configuration, and support. Supplier contracts are separate again: the software connects to a supplier, but the commercial agreement and credentials come from the supplier directly.

Do I pay per booking?

Not on a PHPTRAVELS licence. The licence does not rise with booking volume, which is the main reason the models diverge over time. Managed platforms frequently tier by bookings, users or volume, so ask any vendor directly what happens to the bill when volume doubles.

Is hosting included?

The software is self-hosted, so hosting is yours to arrange — on your own infrastructure or through our managed hosting as an add-on. Either way you keep the data and the code.
